Deployment

What happens after you sign

Deployment connects your systems read-only and runs every automation in shadow mode for at least 14 days, so you see what Poros Ops would catch before anything goes live. Your subscription starts only when you approve go-live.

The steps

  1. Week 0

Sign and pay the deployment fee

You sign the agreement, the data addendum and an order form. The deployment fee ($750 per account plus $100 per store) is paid before work starts. Founding operators get 50% off it ($500 minimum).

You: sign. Us: schedule the connection call.

  2. Week 1

    Connect your systems, read-only

On a call, you create a user for Poros Ops inside each system you want connected: POS, scheduling and time clock, payroll, distributor, alarm panels, banks and, for the Loss Prevention add-on, cameras. You own every user and can remove it at any time. We never ask for passwords by email.

You: create the users. Us: connect and confirm each one.

  3. Weeks 1–3

Shadow mode, at least 14 days

Every automation runs silently. It watches your stores and logs what it would have done, but it writes nothing and texts no one. Fourteen days covers two payroll weeks and two truck orders.

You: run your stores as usual. Us: tune the checks to how you operate.

  4. End of shadow mode

    Your shadow-mode report

We walk you through every flag: what it caught, what was a false alarm, and what we changed. It looks like this sample report.

You: decide what goes live. Us: set who gets which alerts.

  5. Go-live

You approve go-live, automation by automation

Each automation goes live only when you approve it. Some start in ask-first mode, where a manager approves each action with a Y. Your subscription starts here.

You: approve. Us: switch on and watch closely.

  6. Days 1–30 after go-live

    The 30-day exit

If it isn't working for you, cancel in writing within 30 days after go-live. Billing stops, and we refund the unused days of that month. The deployment fee is not refunded.

  7. Then

    Your 12-month term

Billed monthly from go-live. It renews for another 12 months unless either side gives written notice at least 30 days before the term ends. New stores are added as they open.

What we need from you

  • One owner or decision-maker for the deployment
  • A user for Poros Ops in each system you connect, created by you
  • Two short calls: the connection call and the report review
  • A list of who should get which alerts: owners, area managers, store managers

Questions

When does billing start?

The deployment fee is paid before deployment starts. The monthly subscription starts at go-live, after shadow mode and your approval. Nothing is billed monthly during deployment.

Is the deployment fee refundable?

Only if deployment hasn't started. Once deployment work begins, it is non-refundable. See the Refund & Cancellation Policy.

What if it isn't working for us?

You can cancel in writing within 30 days after go-live. Billing stops, and we refund the unused days of the current month.

Can we go live with some automations first?

Yes. You approve go-live one automation at a time. Many operators start with two or three and add more as they see results.

How long does deployment take?

Usually two to four weeks: about a week to connect your systems, then at least 14 days of shadow mode and the report review. It depends on how quickly each system's users are set up.
